Expense rules
By the Mylo team · Last updated June 30, 2026
An expense rule is a small always‑on automation: if the merchant contains X,
apply these updates. A rule can rename the merchant (turn
UBER *TRIP HELP.UBER.COM into Uber), set the category, fill in a
description, assign a customer (which marks the expense billable), set
reimbursable or billable, or file the expense on a named report.
After Mylo's AI has read a receipt, rules apply deterministically on top. They
run once, the moment an expense is created, on every entry path: scans, email
capture, text‑in, bank imports, manual entry.
Two scopes, managed in Settings → Expense rules: organisation rules (owners and admins) apply to everyone; personal rules (anyone) apply only to your own expenses and win when both match.
Mylo also writes rules for you. The first time an expense for a new merchant is approved, Mylo drafts an org rule from it, a clean merchant name plus the category the approver chose, and parks it as a suggestion on the Expense rules page. Nothing applies until an owner, admin, or connected accountant taps Accept; dismissed merchants are never suggested again. Orgs that trust the loop can turn on Activate auto‑learned expense rules immediately to skip the review step (off by default).
