Set up approval workflows

Workflows are opt‑in; until you turn them on, the one‑click queue above is the whole process.

  1. Open Settings → Organisation → Approvals (org owner, or a connected accountant on the client's behalf).
  2. Turn on the Approvals toggle. The card expands to show your approval workflows and approver groups.
  3. Create the approver groups you'll reuse (e.g. "Accounting"): name the group and pick its members.
  4. Edit the Default workflow, or tap Add approval workflow and choose who it applies to: everyone, specific people, or a group. When several workflows could apply, the most specific wins.
  5. Build the steps: for each one, set the number of required approvals (distinct signers, 1 to 20) and the approvers, any mix of people, roles (Owner, Admin, Accountant), or groups. Add up to ten steps; they run in order.
  6. Optionally give a step an amount condition: Only when amount is over $___. Below the threshold the step is skipped.
  7. Read the live plain‑English summary of the workflow; if it says what you meant, tap Save workflow.
  8. In the queue, approvers now see Your turn / Waiting on others chips and a Waiting on me filter, and every signature lands in the expense's Approval progress timeline.

Good to know:

  • A denial at any step halts the chain and returns the expense with a required reason; resubmitting restarts from step 1 with fresh signatures.
  • If a step can no longer reach its quorum, an owner or admin can Force approve past it, with a required reason recorded in the trail.
