Set up expense rules

Rules clean up and categorize expenses the moment they're created.

  1. Open Settings → Expense rules and tap New rule.
  2. If you're an owner or admin, choose the scope: Just me or Whole organisation.
  3. Enter the merchant text to match, e.g. Starbucks.
  4. Fill in the updates to apply (merchant name, category, description, customer, reimbursable, billable, add to a report) and tap Save rule. A blank action leaves that field as is.
  5. From then on, every new expense whose merchant contains that text gets the updates applied automatically, on every entry path.
  6. Let Mylo write rules too: when an expense for a first‑time merchant is approved, a suggested org rule (clean merchant name + the approved category) appears in the Suggested section for owners, admins, and connected accountants.
  7. Tap Accept to activate a suggestion, or Dismiss it and that merchant is never suggested again.
  8. To skip the review step, an owner or admin can turn on Activate auto‑learned expense rules immediately in Organisation settings (off by default).

Good to know:

  • Rules shape new expenses only; they never rewrite expenses you already filed.
  • When an org rule and your personal rule both match, yours wins on your own expenses.
