A mileage expense is a trip, not a typed amount: distance × your org's rate = the amount, computed server‑side. The rate defaults to $0.725 per mile, mirroring the IRS standard mileage rate; an owner or admin can set a custom rate (or switch the org to kilometers), and the rate in force is snapshotted onto each expense, so a later rate change never rewrites trips already filed.
Open Mileage (in the sidebar, or under + as Mileage log) and record the distance one of three ways:
- Map: type your start and stop, plus up to ten stops in between. Mylo suggests real addresses as you type, computes the actual driving route (Google Maps under the hood), and uses the route's real distance. The full addresses are stored on the expense.
- Manual: type a distance you already know.
- Odometer: enter start and end readings, ideally with a dashboard photo of each; Mylo's AI reads the number straight off the photo, and a background check flags any mismatch for the approver. It never blocks you.
Every trip gets a mileage log PDF attached automatically: traveler, date, addresses, distance, the rate applied, the computed amount, and in Map mode an image of the route. The log travels with the expense to QuickBooks on export. Works on web and mobile.
